G STUDIOS CENTRAL COAST
STUDIO HIRE TERMS AND CONDITIONS
Effective date: 15 September 2026
These terms apply to studio hire provided by Matt Grimwood trading as G Studios Central Coast, ABN 36 927 023 759, at 9/23 Lake Road, Tuggerah NSW 2259, Australia.
“G Studios”, “we” and “us” refer to the studio operator. “The Client” means the person or business making the booking.

The minimum hire period is 2 hours.
Your booking covers the studio, hire period, equipment and additional services specified in your booking confirmation.

Full payment is required when booking. A booking is confirmed once payment has been received and G Studios has issued a booking confirmation.
The total booking price, including GST and applicable surcharges, will be shown before payment.
Additional equipment or services must be agreed upon before use. Approved additional charges will be invoiced separately and payable by the due date shown.

Cancellation and rescheduling requests must be submitted in writing to bookings@gstudios.au. Notice is calculated from the time we receive your request to the scheduled booking start time.
For requests received at least 48 hours before the booking:
The booking may be moved to an available date or the amount paid held as a studio hire credit.
Credits must be used within 6 months of the original booking date unless G Studios approves an extension in writing.
Any price difference for the replacement booking will be confirmed before it is finalised.
Change-of-mind cancellations are eligible for credit rather than a cash refund, subject to your rights under Australian Consumer Law.
Cancellations or rescheduling requests received with less than 48 hours’ notice, and non-attendance, attract a cancellation fee equal to the full booking amount, subject to the adjustment below. This fee is deducted from the payment already received.
We will reduce the fee and refund any excess where costs saved or income from a replacement booking mean that retaining the full amount would exceed our reasonable loss.
Please notify us even if you are cancelling with less than 48 hours’ notice so we have an opportunity to rebook the space.
This policy does not limit your rights under Australian Consumer Law.

Your hire period starts and finishes at the times shown in your booking confirmation.
Unloading, setup, hair and makeup, shooting, packing, cleaning and removing equipment must all take place within your booked time.
Arriving late does not extend the booking or entitle you to a refund for the time missed.
Early access is not included and must be approved in advance. The Client must ensure everyone attending understands the access and finish times.
The booked space must be vacated, with all belongings removed, by the booking finish time.

Extensions are subject to availability and must be approved by G Studios before your booking finishes.
Approved extensions and time spent occupying the studio beyond your booking are charged at $150 per hour plus GST ($165 including GST), before any applicable hire surcharge.
For each additional hour, up to and including 30 minutes is charged proportionately at the hourly rate. Once more than 30 minutes of that hour has elapsed, the full hour is charged.
Remaining in the studio after your finish time does not guarantee an extension. We may require you to finish and vacate the space so the next booking can begin.

Standard hire hours are 8:00 am to 6:00 pm.
Early morning and evening bookings outside these hours must be arranged in advance and attract a 10% surcharge on the applicable hire charges.
Weekend bookings also attract a 10% surcharge.
A single 10% surcharge applies where a booking falls within more than one surcharge category. Surcharges are not combined.
Public holiday availability and any applicable surcharge will be confirmed before payment.
The total booking price, including GST and applicable surcharges, will be disclosed before the booking is confirmed.

Hire includes access to the studio selected in your booking and the equipment and facilities listed for that studio.
Content studio hire includes:
2 lights.
2 stands.
2 softboxes.
Cyclorama.
Paper backdrop wall with 4 rolls.
Changing facilities.
Wardrobe area.
Hair and makeup station.
Product studio, podcast studio and other hire options have their own inclusions, as shown when booking.
Hire does not include access to other studios, private offices, storage areas or equipment outside your booking.
Photography, videography, audio recording, editing and technical operation are not included unless expressly listed in your booking.
Requests for additional chairs, props, backgrounds or equipment must be made in advance. Availability and additional charges will be confirmed before use.

All G Studios equipment must remain on the premises.
Equipment must be used carefully, for its intended purpose and in accordance with staff instructions. Ask for assistance before using or adjusting unfamiliar equipment.
Only G Studios staff may move or adjust installed equipment, overhead fixtures or motorised backdrop systems unless permission has been given.
Do not attempt repairs or use equipment that appears damaged or unsafe. Report any fault or damage immediately and stop using the affected item.
The Client must ensure any equipment they bring is safe and suitable for use in the studio. Cables and equipment must not obstruct walkways or exits.

Footwear, props and equipment placed on the cyclorama must be clean and free from anything that could mark or damage the surface.
Do not stand, sit, climb or place equipment on the curved section of the cyclorama.
Dragging furniture, stands or heavy items across the cyclorama is not permitted.
Damage or excessive soiling may incur reasonable cleaning, repainting or repair charges under these terms. Normal wear from proper use is excluded.

The Client must communicate the relevant studio rules to everyone attending their booking and take reasonable steps to ensure they follow them.
Please confirm your expected group size before the booking. Attendance must remain within the capacity confirmed by G Studios.
Children must be supervised by a responsible adult at all times. They must not play with equipment, climb furniture or enter restricted areas.
Pets require prior approval. They must remain controlled and supervised, and their handler is responsible for cleaning up after them. Assistance animals will be accommodated in accordance with applicable law.
G Studios does not provide childcare or animal supervision.

Everyone attending must take reasonable care for their own safety and the safety of others.
Follow reasonable staff directions, keep emergency exits and walkways clear, and report hazards, incidents or injuries immediately.
Unsafe behaviour, harassment, abusive conduct and illegal activity are not permitted.
Anyone whose behaviour creates a serious safety risk may be required to stop the activity or leave the premises.
These responsibilities do not remove G Studios’ own safety obligations or liability where it applies by law.

Written approval is required before using:
Smoke, haze or fog machines.
Open flames, candles or pyrotechnics.
Confetti, glitter, powders, paint or other materials that may spread or stain.
Water effects or substantial quantities of liquid.
Adhesives, fixings or attachments on walls, floors, ceilings or studio fixtures.
Heavy installations, suspended items or unusual electrical equipment.
Approval may include specific safety, setup and cleaning conditions, with any additional charges agreed in advance.
Smoking and vaping are not permitted inside the premises.
Food and drinks must be kept away from equipment and the cyclorama unless approved as part of the shoot.

The lounge and kitchenette are shared facilities available for reasonable use during your booking.
Please keep these areas tidy, respect other occupants and avoid spreading equipment or belongings beyond your booked space.
Music, conversations and production noise must remain at a reasonable level.
Booking one studio does not provide exclusive use of the entire premises. If your project requires controlled sound conditions or exclusive access, discuss this before booking so we can confirm whether your requirements can be accommodated.

The studio must be returned in substantially the same condition as at the start of the booking, allowing for normal wear from proper use.
This includes:
Returning furniture, props and equipment to their original positions, with staff assistance where required.
Removing rubbish and personal belongings.
Cleaning spills and mess created during the booking.
Washing any kitchen items used.
Leaving shared spaces tidy.
Where additional cleaning beyond normal turnover is required, a fee of $95 including GST applies.
If specialist or unusually extensive cleaning is required, we may instead charge the reasonable actual cleaning cost. We will explain the work required and provide supporting details. The standard fee and specialist charge will not both be charged for the same work.

The Client is responsible for reasonable repair or replacement costs to the extent that damage or loss is caused by the negligent, deliberate or improper use of the premises or equipment by the Client or their attendees.
This excludes pre-existing damage, ordinary wear from proper use, equipment faults and loss caused by G Studios.
Please report existing damage when you arrive and any new damage or missing equipment as soon as it is noticed.
Charges will reflect reasonable repair costs or, where repair is not appropriate, reasonable replacement costs taking account of the item’s age and condition.
We will provide details of the damage or loss and the basis of the charge, with a reasonable opportunity for the Client to raise concerns.

The Client and their attendees are responsible for keeping track of their belongings and arranging any insurance they require for their own equipment, activities and personal property.
Do not assume that G Studios’ insurance covers your equipment, production or attendees.
G Studios remains responsible for loss or damage to the extent required by law, including where caused by our negligence or breach of this agreement.

Each party is responsible for loss, damage or injury to the extent caused by its negligence, unlawful conduct or breach of this agreement.
Any amount claimed must be reasonable, supported by evidence and reduced to reflect the other party’s contribution to the loss. Reasonable steps must be taken to minimise the loss.
The Client is not required to compensate G Studios for loss caused by G Studios’ own negligence or breach.

If G Studios cannot provide the booked studio, we will notify the Client as soon as reasonably possible.
Where the booking cannot proceed, the Client may choose an available alternative date or a refund for the hire and associated services we cannot provide.
If an interruption or equipment fault occurs during the booking, please notify staff immediately so we can attempt to resolve it.
Where the interruption materially affects the agreed service, we will discuss an appropriate remedy, which may include replacement equipment, additional time, rescheduling or a refund for the affected service, without limiting rights under Australian Consumer Law.

G Studios may suspend an activity or end a booking immediately where there is a serious safety risk, illegal activity, threatening or abusive behaviour, or deliberate damage.
For other breaches that can reasonably be corrected, we will explain the issue and give the Client a reasonable opportunity to resolve it.
If a booking is ended because of the Client’s breach, any amount retained from unused hire fees will be limited to our reasonable resulting loss, taking into account costs saved. The same loss will not be charged twice.
G Studios may decline future bookings where serious or repeated breaches have occurred, subject to applicable law.

Nothing in these terms excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under Australian Consumer Law or other applicable legislation.
Where these terms conflict with a right that cannot be excluded, that right takes priority.

Please contact bookings@gstudios.au or 0458 376 579 promptly if you have a concern about your booking, the service provided or an additional charge.
Both parties agree to make reasonable efforts to resolve concerns directly. This does not prevent either party from exercising their legal rights or seeking assistance from NSW Fair Trading or another appropriate body.

By completing a booking after being provided with these terms, the Client confirms that they have read and accepted them.
Anyone booking on behalf of a business confirms they are authorised to do so.
The version of these terms supplied and accepted when a booking is made applies to that booking. Later changes will apply to new bookings and will not automatically change existing confirmed bookings.
Any agreed variation to a confirmed booking must be recorded in writing.
